Admin Level & Capabilites in SecurePass

The following article will provide a brief explanation of the two user types most used for managing Visitor Management in SecurePass

There are two user types in SecurePass for your business when using Visitor Management; A System Admin and a Concierge user.

 

What is a System Admin 


System Admins have the highest level of permissions in SecurePass. They can have access to more than one site and have the ability to modify your kiosk appearance, update the content of your sign-in steps, add staff members  invite new System Admins and Concierge users and have visibility as to who is/has been at your site.


If you are using our Contractor Management system a System Admin can also invite Contractor Business Admins, add and edit Contractor Businesses as well as approve any new documents or changes to a Contractor Business or their employees.


System Admins also receive notifications relating to SecurePass and can change which notifications they and others receive.

The following image is an example of what a System Admin will see when they are accessing the backend of SecurePass. 

 

Admin Level Accounts are able to:


• Create new Admin, Manager and Contractor Business accounts
• Create new Contractor Company and Contractors and verity Contractor Business Documents - (Only for Full Contractor Managment Accounts)   
• Activate and deactivate Contractors
• Create new Staff (Person who Visitors will be meeting)
• Setup and modify Induction, Evacuation Plan, Hazard Identification, Hazard Register and custom messages
• Keep track of all Visitors, Contractors, and Staff entering the premises
• Set auto sign in and sign out of the Geo fencing radius
• Monitor Contractor locations on Google Maps
• Receive email and SMS notifications during an emergency
• Create an Evacuation Event procedure including the sending of bulk SMS notifications (incl. I'm Safe notifications)

What is a Concierge User 


Concierge users have very limited access to SecurePass and can only view the dashboard, open the sign-in/out process via their browser to sign your visitors in/out, download contactless QR codes for Staff, Visitors and Contractors (if applicable), view recent sign-in history and the details of those visits. Concierge users do not receive any notifications from SecurePass and can only have access to a single site.

 

Concierge Users Cannot 

 

  • Have access to multiple sites 
  • Adjust the Branding and Sign In Steps displayed
  • Add Staff members as the person being Visited. 
  • Invite System Admins or Concierge Users into SecurePass. 
  • Approve or Rejected  

 

Concierge Users CAN

  • View the Dashboard and manually sign in and out users.
  • View Sign - In History. 
  • Trigger an Emergency Event 
  • Assign Assets to Currently Signed in Users.  

 


Both user types are invited to join SecurePass via an email invitation and are then required to set up their own user information.

 

If you are having multiple sites, HealthSafe will send out the initial System Admin invitations for your main site only. All other user invitations will need to be sent out by one of your System Admins, including any Concierge user invitations.

 

Multi Site Admin Access

 

System Admin accounts can also be made into Multi Site Admins. So that they can have the ability to manage and review multiple sites  within the one organisation. 

 

If multi-site access is required for an admin, this can only be given once a user has created their account.

 

Multi-site access must be requested for a user/s by one of our key contacts at your company by clicking the Need Help button on the lower right corner of their SecurePass dashboard and submitting a support ticket advising which site/s a user/s requires access to.

 

It is important that you only request multisite access once a user has set up their account and do not invite admins to each site that they require access to in SecurePass as this will create duplicate accounts that cannot be deleted.

If you are a Multi site admin, your dropdown view will look similar to this. If not the Dropdown button will be greyed out or not visible for System Admins.
