Key Information to Gather Before the Rollout
To ensure a smooth and efficient rollout process, we recommend gathering the following information in advance.
Evacuation diagram image and Evacuation text.
- A one or two-page JPG, PNG. Evacuation diagram image. Max 20MB
- A short paragraph/sentence outlining the evacuation process you would like your visitors on-site to follow.
Company logo and Background image.
- A JPG, PNG or SVG file that contains your company logo. This will be showcased on the initial sign-in screen. (MAX 2GB)
- A JPG, PNG or SVG file that contains the background image, you would like to be showcased while your visitors sign in. (MAX 2GB)
Excel Spreadsheet containing your Staff Members. (Optional)
- An Excel spreadsheet that contains details about your staff member. SecurePass will require at minimum, their Full Name, Position and Email Address
Rollout Process Overview
- Order Form Signed - Signed by you and sent by the HealthSafe Sales team..
- Onboarding Form- Customer Success sends the onboarding form for site creation.
- Site Setup - After form completion, your site is created, admin invites are sent, and assets are shipped/preconfigured (within 5 business days).
- Intro Training: Customer Success will lead a 30-- 45-minute session introducing SecurePass.
- Entra Id Training session (Optional) - After your site has been created and training is done, the Customer Success Team can have a dedicated training session to go over the Entra ID setup process. Normally this is with a dedicated IT specialist (30 -45 minutes)
- Site Goes Live - Visitor Management goes live. Customer Success is available on call during this time.
Timeframe
Throughout the rollout, you'll receive additional training materials, alongside the virtual sessions provided by the Customer Success Team.
The timeline for your rollout will vary based on the number of sites to be added. We will coordinate the schedule to fit your needs.
We aim to get these all up and running within 2 weeks for a single Individual site.
Post-Rollout Support
Once your rollout is complete, the Customer Success Team will remain available for ongoing support. They will keep you informed about upcoming updates and assist with resolving any issues.
To ensure the smooth running of SecurePass, we recommend that you always have two individuals that can champion the system and are able to train up others if needed.
