Note: If you are an existing SecurePass Visitor Management Customer, some of these steps would have been completed.
Information to gather before the rollout.
A key component of Contractor Management with SecurePass is the governance aspect. To simplify the rollout process, there is some key information that we highly suggest you gather before we begin the rollout.
- Your Contractor induction file which needs to be reviewed by Contractors on an annual basis, along with a series of induction questions related to that file.
- An Excel spreadsheet that contains a list of the Contractor's Business that will be signing onto your location. Along with the name and email address of the Key Contact who will be managing this business within SecurePass. We will also need the business's physical address and Company Phone Number.
- This can be included in your initial Excel spreadsheet, but from your Contractor Business signing on. What industry they are associated with, along with the Mandatory documentation that must be uploaded for the Business and its employees to meet your compliance standards.
A Breakdown of the Rollout Process.
- Order Form signed - sent by the HealthSafe Sales Team.
- HealthSafe Customer Success sends an Onboarding form for Site Creation.
- Once the Onboarding form is completed, your site is then created within SecurePass, your system admin invites are sent, and physical assets are shipped and preconfigured to your login ( 5 working day timeframe )
- An Introduction training session is scheduled during this time, to provide you with a comprehensive overview of SecurePass. ( 30 - 45 minutes, led by the Customer Success Team)
- Your Site goes live for Visitor management sign-in. The Customer Success team will be on call to assist if needed
- Customer Success Team will schedule an additional meeting to cover the Contractor Management side of SecurePass ( 30 -45 minutes, roughly 2 week after
- Once this session has been completed, you will start the process of creating your contractor business within SecurePass, adding your contactor inductions files and questions and assigning compliance requirements ( 1-2 days)
- After the above tasks are completed, we will schedule an additional training session to go over the process of inviting your Contractor Business Admins along with the document and employee review process. We will provide you with a letter template that you may send to your contractor business admin introducing SecurePass. Along with Confirming your “go live date”
- Contractor Business accepts their invite and uploads business documents for verification along with their employees ( 2 -3 Weeks)
- While these documents and employees are being uploaded, you will be verifying that they meet your requirements. (2 - 3 weeks)
- The Contractor Management feature is turned on, on the agreed start date. Customer Success Team will be on board to assist
Throughout the rollout process, you will be provided with additional training material on top of the virtual training done by the Customer Success Team.
The timeframe for your rollout will vary depending on the number of businesses that need to be added along with the documents. We will work around your schedule.
What support is available after the rollout is completed?
After your rollout has been completed, the Customer Success Team will be readily available to provide additional support if needed. They will communicate with you about upcoming updates and investigate and resolve any issues that may appear.
