First Time Registration for Contractors (Android Devices)

PREREQUISITE

Android Devices

  1. Please ensure you have the latest Google Play Services installed on your Android device.
  2. Please ensure your Android device has a minimum operating system version of Lollipop 5.0.1.
  3. A minimum of 1GB RAM is required for the application to operate seamlessly.

Download and Installation Instructions

  1. Go to the 'Google Play Store application.
  2. Search for “SecurePass for Contractors”.
  3. The application will show up as below:

  1. Install the application and follow the step-by-step guide below.

Note: Once the 'SecurePass for Contractors’ app is installed you will be notified of any updates to ensure that we provide you with the best user experience. Please allow your device to carry out these updates when available.

Step-by-step guide: First-time registration for contractors (Android Devices)

1. Open your 'SecurePass for Contractors' app. When your phone prompts the screen below, tap on the ‘Next’ button. 

2. If your phone prompts the message below, tap on the ‘Allow’ button.

3. Once you see the file permissions screen like below, tap the ‘Next’ button to continue.

4. If your phone prompts the message below, tap the ‘Allow’ button to allow SecurePass to access your photos and videos.

5. Once you see the camera permissions screen like below, tap the ‘Next’ button to continue.

6. If your phone prompts the message below, tap the ‘While using the app’ button to grant the SecurePass app access to take pictures and record videos.

7. Once you see the location permissions screen like below, tap the ‘Next’ button to continue.

8. If your phone prompts the message below, tap the ‘While using the app’ button. This will allow your phone to access the device’s location, access photos, and allow it to take pictures if the request pops up.

Note: The SecurePass application will only work properly if you allow access to these features. If you deny its access by accident, please re-enable it through your phone settings. Alternatively, you can reinstall the application for this message to pop up again.

9. Start the signup process by selecting your country code and entering your mobile phone number into the provided field, then tap ‘Next to continue’. 

Example:

Your New Zealand phone number: 021 000 999 | Country Code: 64

Mobile number format to input: 21000999 

Note: You must be pre-registered in the system with your mobile phone number before you can complete the registration process.

10. You will receive an SMS containing a 5-digit verification code to verify that you are signing in from an approved smartphone. This code will only be sent to mobile phone numbers registered in the SecurePass system by the Company Administrator. Enter the verification code received, then tap ‘Next’ to continue.

11. During the registration process, you will be asked to take a photo of yourself. Please take your photo by tapping on the ‘Take your photo’ text in the centre of the screen, then tap ‘Next’ to continue. 

Note: You must take a clear photo of yourself for security purposes.

12. Take your photo, then tap ‘OK’ to confirm. After that, tap ‘Next’ to continue.

13. You will then be asked to come up with your 4-digit personal pin number, which you will use every time you sign into a location you are approved for. Complete the required fields, then tap ‘Submit’.

 

14. Once you have completed the registration process, SecurePass will display the screen below.

15. Tap the ‘Sign in’ button. You will then be asked to perform a  one-off emergency 'shake' test using your phone.

16. To initiate the emergency 'shake' test, Press the 'Start' button and swiftly shake the phone to the side.

17. Once the emergency 'shake' test is completed successfully,, the below screen is displayed. Click 'Ok'.

Note: In some instances, there may be an initial fail and the SecurePass system will request that you retry the shake test. 

18. The screen below will display once you have successfully completed the registration process for SecurePass.

Allowing Notifications

In order for the contractor Geo fence sign-in feature to work seamlessly, please make sure the following has been done:

  1. The SecurePass app needs to be opened in the background. Please turn on the SecurePass app before leaving for the location and keep the app opened in the background when onsite.

  2. The notification settings need to be enabled for all states, this includes enabling it when the phone is locked. Please follow the steps below to do so:

Contractor Induction

1. Once you have successfully registered as a contractor you must complete the clients induction requirements before you will be able to sign-in as a contractor at the clients site/s. To complete this, click the ‘inductions’ button to view which site/s you need to complete an induction for. 

Note: Inductions are site specific so if you are registered at more than one site for a client you will have multiple inductions to complete.

2. Once you have selected the site that you need to complete an induction for you will see text outlining any relevant induction text that has been added by the client. Once read, click on a red button that appears at the bottom of the screen (Video, PPT, PDF). Some clients will only have one file type for you to view whereas others may have multiple so you may only see one file type highlighted in red or, multiple. You will need to viewall file types highlighted in red  before you can proceed to the next induction screen. Once you have viewed all of the required file types, tap the checkbox alongside ‘I Acknowledge and Agree’ and then ‘Next’ to continue.

3. Most inductions will include questions relating to the induction files viewed. These will appear once you have viewed all of  the required induction files and the ‘Next’ button has been selected. Please see the example below. You will need to answer the multichoice questions correctly in order to successfully complete the induction. The pass rate is set by each clients but, most expect all answers to be correct so make sure you take the time to view the related file/s.

4. On successful completion the pop-up shown in the example below will appear and you will now be able to sign-in to the selected clients site. You will need to repeat the process for any additional client sites that you will be going to. 

Sign in Options Available for Contractors

Sign-in/out options are determined by the client so, all sign in/out options may not be available to you.

To successfully sign in to a clients site you must have been added to SecurePass by your employer or the client, completed the registration process/induction requirements and your business must have added any required documentation and expiry dates for the business or you as an individual as per the requirements communicated by the client. 

If there are any missing documents or expiry dates or, an invalid expiry date for your company that are mandatory requirements set by the client, no employees will be able to sign in. 

If there are any missing documents or expiry dates or, an invalid expiry date in your individual profile that are mandatory requirements set by the client (this includes your induction expiry date), only you will not be able to sign in. 

Signing in via Geofence

If using the Geofence feature to sign in/out of site please follow the below steps:

  1. On arrival to the clients site open the SecurePass for Contractors app on your mobile device and select the ‘Sign in’ button then, Geofence. 


Note: Location permissions must be set to ‘While using the app’ or ‘Always’ for Geofence sign-in to be available. If these are on and you are still unable to sign-in using this feature the client may have turned this option off.

When you go to leave site you need to open the SecurePass for Contractors app on yourmobile device and select the sign out option. Please note that you will be unable to sign out using geofence whilst you are still within the clients geofence area. 

Sign in via QR Code for Contractors

These can only be scanned with the QR Reader in the SecurePass for Contractors app. There are two different QR Codes. The QR Code on the iPad only appears on the Contractor sign-in screen, not the main screen and requires you to enter your 4-digit pin code first and then you complete the sign-in process on the iPad. 

The printed contactless QR Code for Contractors must also be scanned using the SecurePass for Contractors app, and you then complete the sign-in process on your own mobile phone.

Sign-in on iPad kiosk using our ‘Type My Name’ feature 

Registered contractors can sign in via an iPad kiosk by typing their name. Your name will only appear if they have been registered in the system and are not already signed in at the site. You must enter your full first name and the first two or three letters of your last name before your name will appear for you to select. 

Scan My Card: A personalised card can be generated and either printed or sent via SMS or email to the contractor business employee that has your photo and a personalised QR code. When you arrive at the clients site/s, you can go to the kiosk and select “Scan my card” on the iPad and use the built-in camera to scan the QR Code displayed on the card, which will then start the sign-in/out process. 

Some clients choose to use the printed cards purely for photographic ID or spot-check purposes.
