Asset Management

 

SecurePass allows Admins to manage the assigning of Assets to guests, whether they are Visitors or Staff or Casual Contractors or Contractors. The Assets are assigned after the guest has signed in and when they sign out, the return of these items is requested.

First the assets need to be created (Asset Management > Add Assets)

Admin can then create a new asset and add it to the library. A name and a description are given and an image can be added to the record if desired. Assets can include physical hardware such as Laptops or iPads, or they could be door keys. Assets can include any item that needs to be tracked.

Once the assets have been created they appear in the site Asset library and can be assigned to a signed in person - Visitor/Staff/Casual Contractor or Contractor. Note this step cannot be performed in advance – the asset can only be assigned to someone who is already signed into the site.

To assign assets to a signed in Visitor, go to the list of Sign In/Out Visitors list and select the Details of the Visitor.

 

In the Details section the Admin goes to Assets and selects the required items from the Asset Library.

Select the desired Assets and use the Save button.

 

The Assets have now been assigned to that person for the remainder of their visit. When they sign out of the site, they are prompted to return these Assets.

The Asset library can be changed at any time. Items can be added and removed. Items can also be disabled. In the disabled state the Asset can exist, but cannot be seen in lists or assigned.
